Summary of Position

PMI is seeking a professional to ensure effective administrative support for the Vice President, Academic & Educational Programs area which includes but is not limited to, clerical duties, initiation and maintenance of records and files, project schedules, meeting coordination, facilitation of internal communication, activity follow-up, document preparation, report compilation and analysis.

Additionally the successful candidate will provide support for various enterprise-wide tasks as directed by Vice President, Academic & Educational Programs. This may include but is not limited to, serving as member of organization-level project teams, assisting in compilation and distribution of status reports, and gathering needed data for ongoing department support needs.

Duties include but are not limited to:
Develop and respond to routine communications (written, electronic or by phone) for the Operating Group.  Direct matters requiring action by other staff/departments to the appropriate person and follow-up to ensure that actions were taken.

Maintain accurate records, reports, and files to assist with operating group management and oversight, including standard or custom budget and program/project expense reporting and analysis, as well as archiving.

Compose, develop, and prepare data, presentations and reports for review, submission, and/or presentations to executive management, PMI Board of Directors, PMI staff, and member and volunteer groups.

Coordinate in-house group meetings including logistics, invitations, and food and beverage if necessary.  Assist with travel arrangements as may be needed.

Ensure appropriate administrative support is provided to the operating group and also ensure data entry and maintenance, such as timely entry of information in the SalesForce database, is complete and current, providing relevant information to support program planning, decisions, and future actions.

Create and maintain associated project and program numbers through manual system to track cost and budgeting information needed by Finance.
